Essential Documents Every Chemical Shipment Requires

1. Commercial Invoice

Your primary customs valuation document. Must include seller/buyer details, invoice number, product description with CAS numbers, HS codes, quantity, unit price, total value, Incoterms, country of origin, and authorized signature with company chop (red seal).

Common mistakes: Vague descriptions, missing CAS numbers, inconsistent values, no company chop.

2. Packing List

Details how goods are packed: total packages, package type, gross/net weights, dimensions, batch/lot numbers, and shipping marks. Customs uses this to verify physical shipments.

3. Bill of Lading (B/L)

Title document and contract of carriage. Types: Straight B/L (non-negotiable), Order B/L (negotiable), Sea Waybill (express release). Key info includes shipper, consignee, vessel, ports, container/seal numbers, and freight terms.

4. Certificate of Origin (COO)

Certifies manufacturing origin for duty determination. Types: Normal COO (CCPIT), Form E (ASEAN FTA), Form A (GSP). Processing time: 2-3 working days after shipment.

5. Safety Data Sheet (SDS)

GHS-compliant 16-section format, in English or destination language, matching actual product composition, revision within 3-5 years. Required for customs clearance, carrier acceptance, and warehouse storage.

6. Certificate of Analysis (CoA)

Proves product meets specifications with batch number, manufacturing date, test parameters, results, methods, and QC manager signature. Third-party CoA from SGS/BV/Intertek adds credibility ($300-800).

7. Insurance Certificate

For CIF terms: all-risk coverage (Institute Cargo Clauses A), warehouse-to-warehouse, war and strikes clauses. FOB buyers must arrange their own coverage.

  • USA: TSCA certification, EPA prior notice, ISF filing 24h before loading
